F1.2 Booking Procedures Cancellations A/ If you have reserved a table but are unable to attend the race meeting, please call the reservation hotlines 1816/1815/1814 to cancel your reservation. For Owners with starters, please call the dedicated hotline 1833328. B/ The reserved table is to be used by the Member who has been allocated the table, which is non-transferrable. C/ Please refer to the Raceday Booking Schedule from p. G1.1 - 1.7 regarding the cancellation cut-off dates and time. D/ A cancellation charge equivalent to the minimum catering charge per table will be debited to your Membership account should you fail to cancel your reservation before the cancellation cut-off time. E/ The above cancellation procedures apply to all occasions including when a Member changes his/her reservation of a table to half a table. Please call the reservation hotline for assistance. F/ To protect your booking interests, you are required to perform verification with Club staff when making amendments or cancellations. G/ If a race meeting is postponed or cancelled, all reservations and parking arrangement will be cancelled without charges. Seasonal Table or Seat in 2025/26 Season Members who reserve tables in the Members Boxes and attend 35 out of 37 Happy Valley race meetings, or 47 out of 51 Sha Tin race meetings in the 2024/25 Racing Season, will be allocated a seasonal table for the 2025/26 Racing Season in the same box. The size of the allocated table will be determined by the average table utilisation in the 2024/25 Racing Season. The same principle also applies to Private Booths and Loges users. To be eligible for a seasonal Private Booth/seasonal seat(s) in Loges in the 2025/26 Racing Season, Members are required to sign the Confirmation Slip in person at the reception counter during the race meetings. Allocation of seasonal tables for the 2025/26 Racing Season to entitled Members will be prioritised according to their attendance in the 2024/25 Racing Season. Attendance in Topaz 7/F, Topaz 8/F, Provincial, The Chalk and Y Box at Happy Valley Racecourse, and Members Coffee Shop 5/F, Cabin (Parade Ring side), MB2 Members Betting Hall 2/F, MB2 Members Bar and Y Box at Sha Tin Racecourse will not be counted to qualify for seasonal tables. Seasonal Table in 2025/26 Season for Owners Owners who reserve tables in the designated Owners Boxes and attend 35 out of 37 Happy Valley race meetings, or 47 out of 51 Sha Tin race meetings in the 2024/25 Racing Season, will be allocated a seasonal table for the 2025/26 Racing Season in one of the Owners Boxes. To validate the attendance for a seasonal table, Owners are required to reserve the table and pay through their own Membership account every time. Attendance in Owners Pavilion (Owners Lounge and Champagne Terrace) at Happy Valley Racecourse, and Cabin (Track side), Owners Pavilion (Owners Lounge), and Owners Bar at Sha Tin Racecourse will not be counted to qualify for seasonal tables. Waiting List If the box is full, our Service Assistant will record your request based on your preference. Each member is allowed to have a maximum of 2 waiting list entries. When a table becomes available, our Services Assistant will call you to confirm the table arrangement. Noti cations A/ Email notifications for confirmation and cancellation of a table reservation will be sent to the Member’s registered email address. B/ To protect your privacy, you are required to provide your personal details for verification if you request the notification to be sent to a non-registered email address.
